I have found a way to consolidate my items. I hoard items, but only specific kinds. I have a sorting system for it.

I try to have access to as many dye color as I can get my hands on without spending real money. That takes up a sizable chunk of a retainer's inventory. I may not use every color, but it helps for niche situations or in case someone else needs a particular dye color (feels nice to help, ya know?). Once in a while I may also want a particular color that I don't normally use. For reference, I usually use purples, reds, and blues. Once in a while I may need browns, and shades (white, grays, black).
I also collect materia. HOWEVER, I have found the best kind to keep around is the kind that matches the expansion I am working on (In this case endwalker-- so the current highest level of materia). When I move onto a newer expansion I sell it to make room. At one point I hoarded all materia but after a while that was untenable.
I also store housing items. Though, I haven't gotten to use them yet- luckily I don't usually get new furniture. One of my retainers store all of the useful items. The other retainer stores misc items like moogle tomes (they have a lot more space).
As for fishing tackles, I use the chocobo saddlebag and only store current expansion + specific scrip tackles. I do not keep ARR tackles unless I plan to ARR fish, for example (the exception being the versatile lure- I use that to log bodies of water). I have a good bit of fish in there too that I want to one day put into fish tanks.
I also store fireworks in one of my retainers but they take up so little space it isn't really a problem for me.

I do not keep mats around UNLESS it is relevant to what I am crafting or if I plan to sell the mats soon. Mats are the biggest inventory space hog for me. Sometimes I procrastinate cleaning out the mats because it can be a headache to sort them into the four categories (use, sell, throw away). I do store specific crafting mats to a retainer (like silver ore) but that is probably five different mats in total.
In my main inventory I keep: dark matter, potion kits (highest level), a bit of food, things like antidotes, golden needs, spine drops, etc, some misc items (skins, leather, ingots, nuggets, etc) in a specific corner to either sell, store, or throw away, and armor/arms/jewelry that I will be desynthesising very soon.

I have 2 retainers. I have managed to still have space up to this point even with what I hoard. Not sure if anyone else will find this information useful- I guess the biggest takeaway is to consolidate your items into four categories (keep, use, sell, and throw away) then store with your retainers what you don't need to access as often and store in your main inventory what you will use frequently. Your chocobo saddlebag, of course, should only store what you will access outside of dungeons/raids/trails/solo instances.

I do think we need a dedicated bait inventory. It can be annoying to find out I need a specific tackle that I no longer have (though that could be chalked up to poor planning). I plan to one day finish up the entirety of the fishing log. I have 60% of the log completed, the 40% being monster/big fish. Maybe for fishing tackles, only keep particular tackles that are relevant to you- most fish have 0 uses (cannot be put into an aquarium, cannot be used in recipes, cannot be used for a print). Keep tackles that you will use. Most tackles are very easy to obtain.
